User Unit Leaders' Frequently Asked Questions Q:My school has new members enrolled in, what should I do? A: The User Unit Leader of the ramification should send the completed form AYP001 (one form for every student) together with the fees for the record books to the headquarters of the Hong Kong Award For Young People. Each record book costs HK$35 Q:Could new members reuse the old record books? A: No, although it sounds a bit more environmental friendly, as every record book should belong to the original owner, teachers should let the students keep their own record books. Q: How could my students apply for the medal awards (badges)? Is there any deadline for sending in the application? A: Teachers could help students fill in the form AYP007 (can be downloaded from our website) along with the completed record books and send them to our office. If students apply for the silver/gold award, they should also fill in the form “Notification for Silver/Gold Award”. Teachers are suggested to let us examine the record books once before they hand them in because the time for application would delay if there were something wrong with the record books. Q:How do the graduated students continue on their medal activity? A: They can switch to other units for continuous assessment. If teachers are willing to assist them, they can still be doing it in the same school. Q: One of my students will study abroad, what should I do? A: You should send the completed form AYP008 with the withdrawal reasons listed, as well as the record books and record cards to the Schools Operating Authority. Students should also provide the addresses they live overseas with the record books sent to our office. The department will send all the information to the headquarters. Q:What is meant by withdrawal from the scheme/Schools Operating Authority? A: Withdrawal from the scheme represents that the participants will not continue on the scheme in the future. The reasons may be: emigrate, study overseas, no longer interested or only a matter of time. Q:If students are under 14, could they still participate? A: Students who are 12 or above are recommended to join the “Green Bird Action” to equip themselves for the Bronze Award Scheme. Q: How do I know if I have self-determination? A: If you have graduated from the basic training of the leader of the ramification and you have been a leader for over one year, you will automatically be given self-determination. For those leaders who are not given the self-determination should hand in application forms (AYP002 to 006) according to the activities they participate. The Schools Operating Authority will do the assessment. This is to make sure all selected activities and the assessors reach the required standard. Q: If I want to plan some activities for the members in my school, what should I do? If you have self-determination and are sure that the activities are safe and of standard, you can plan activities for your members. Q: How could I know the activities meet the requirements? A: You can refer to “The Hong Kong Award for Young People Hand book-Rules and Regulations” or download from our website. If the handbook does not list the activity, please call 2729-1231 for enquiry. Q: Why didn't I receive any record books from you even though I had faxed the form AYP001 to you? A:? In order to avoid postal error, teachers should send somebody to come to our head office in Cheung Sha Wan to pay all the necessary fees and take the record books. Teachers are not recommended to send the record books to us by mail. We would not be responsible for any loss due to postal error. Q: Are the activities from The Schools Operating Authority for members only? A: Yes, all the activities funded by The Schools Operating Authority are excluded for school members. Q: Can I be the subject instructor or the assessor? A: Tutoring and assessing should be responsible by veterans. Since the Expedition Section is dangerous, we are serious with the qualification of the tutors. Therefore, we do not expect any activities in progress under non-qualified instructors, for the sake of safety. Besides, if you are the other unit's qualified instructor, you must sign up to be our qualified instructor before tutoring. Q: Do you provide any tools that are for promotion purposes? A: We have many posters, leaflets and boards that can lend to teachers. But to ensure that other user units will not use the tools you borrow, please notify us within two weeks before you borrow them. We also provide free trainings and introduction talks for our school members; just feel free to call us at 2729-1231 for further details. Q: How could I deal with the parental consent letters? A: Teachers should give the record books, membership cards as well as the parental consent letters to your new members. Parents should fill in the parental consent letters. Teachers keep the third part of the letters for records. The members themselves keep the first and second parts. Q: Can I keep the record books for my members? A: Teachers are not recommended to do this since the record books belong to the members themselves. They should be responsible for their belongings. Q: Is there a Bronze Award giving ceremony? A: No, but we encourage teachers hold the ceremony in schools, to share the happiness with all the other students. Q: Could you mail us the record books? A: Sorry, we couldn't. We do not encourage that teachers mail the record books to us either. We would not be responsible for any loss due to postal error. |
