Q: My school has recruited some new members, what should I do then?

A: As the User Unit Leader, you should submit the completed Form AYP001 (separate form for different level) together with the fees for Record Books to SOA Office. Each Record Book costs HK$35

Q: Can new members reuse those old Record Books of other participants?

A: Definitely no, as every Record Book belongs to individual participant, teachers should let the students keep their own Record Books.

Q: How could my students apply for an Award?

A: Form AYP007, completed and signed by User Unit Leaders, should be submitted to SOA together with the Record Books. If students apply for the Silver or Gold Award, they should also fill in the form "Notification for Attainment of Silver/Gold Award".

Q: How can those school-leavers continue to work for an Award?

A: There are 2 paths for them to choose:

  1. If the User Unit Leader is willing to continue to take care of them, they can continue their Award path under SOA.
  2. Otherwise, they should withdraw from SOA and join another Operating Authority of AYP. Please call AYP HQs at 2728-3244 for assistance.

Q: One of my students will study abroad, what should I do?

A: You should send the completed Form AYP008 with the withdrawal reasons listed, as well as the Record Books to SOA. Students should also submit their respective overseas addresses and Record Books to our Office. SOA will then process and then pass the applications to AYP HQs for follow-up actions.

Q: What is meant by withdrawal from the Scheme/Schools Operating Authority?

A: Withdrawal from the Scheme means that the participant concerned is no longer an AYP participant. The reasons behind can be emigration, studying abroad, no longer interested, etc. Withdrawal from SOA means the participant concerned changes to another Operating Authority to continue their Award activities.

Q: If students are under 14, could they still participate?

A: Students who are 12 or above are recommended to join the Green Bird Action to equip themselves for the Bronze Award Scheme.

Q: If I want to plan some activities for the members in my school, what should I do?

A: For those new UU Leaders, we recommend you to hand in application forms (Form AYP002 to AYP006) before your students get started activities. This is to make sure all activities to be undertaken reach the Award requirements.

Q: How could I know the activities meet the requirements?

A: You can check this out from HKAYP Handbook which is available from www.soa.org.hk.

Q: Why didn't I receive any Record Books from you even though I had faxed the Form AYP001 to you?

A: In order to avoid postal error, teachers should send somebody to come to our head office in Cheung Sha Wan to pay all the necessary fees and take the Record Books. Teachers are not recommended to send the Record Books to us by mail. We would not be responsible for any loss due to postal error.

Q: Can I be the subject instructor or the assessor?

A: An adult with rich experience and qualifications can be the instructor / assessor for an activity concerned. However, all courses and activities of the Expeditions Section should be conducted by registered AYP Expeditions Instructors.

Q: How could I deal with the parental consent letters?

A: Teachers should give the Record Books, membership cards as well as the parental consent letters to your new members. Parents should fill in the parental consent letters. Teachers keep the third part of the letters for records. The members themselves keep the first and second parts.

Q: Can I keep the Record Books for my members?

A: Teachers are not recommended to do this since the Record Books belong to the members themselves. They should be responsible for their belongings.

Q: Is there a Bronze Award giving ceremony?

A: No, but we encourage teachers hold the ceremony in schools, to share the happiness with all the other students.

Q: Could you mail us the Record Books?

A: Sorry, we couldn't. We do not encourage teachers mail the Record Books to us either. We would not be responsible for any loss due to postal error.
